About FoTT
Friends of the Timber Trail (FoTT) is a volunteer‑led incorporated society supporting the Timber Trail – one of Aotearoa New Zealand’s Great Rides. Since 2013 we’ve rolled up our sleeves to make the trail even better, funding and building practical amenities like picnic tables, shelters, and toilet blocks, and pitching in on working bees with our partners and supporters.
Our wonderful Secretary/Administrator, Robyn, is stepping down after a great stint. We’re looking for a capable, community‑minded person to pick up this rewarding, flexible role.
About the role
This is a light‑touch administrative and governance support role averaging around 50 hours per year (roughly an hour a week, with a few busier patches around the AGM and funding deadlines). A small annual budget is available to recognise your time and cover reasonable expenses. The role can be done from home. A love of the outdoors (and even better, biking!) is a bonus.
Key responsibilities
Committee & AGM support: schedule meetings, circulate agendas and papers, take minutes, track actions, and support the AGM process.
Society administration: maintain our society records, member list and email groups; keep our simple digital filing in order (e.g. Google Drive).
Compliance (light): file the annual return with the Companies Office (with the Chair/Treasurer); maintain the register of officers and basic policies.
Funding support: draft and submit small funding applications; liaise with funders; help collate simple accountability reports.
Member & partner comms: prepare short member updates/newsletters; coordinate notices for working bees or small projects; liaise with partners (e.g. Timber Trail operators, DOC) as needed.
What you’ll bring
Strong organisational skills and tidy admin habits.
Confidence with basic digital tools (email/docs/spreadsheets; we use Google Workspace) and light accounts support (working with the Treasurer).
Clear, friendly written communication.
Ideally, some experience with community groups or small funding applications.
Location: Waikato or King Country would be handy, but we’re open to anyone with a strong connection to the Timber Trail or region.
Time & recognition
Approx. 50 hours per year, flexible.
Modest annual honorarium/expense budget by agreement.
Occasional attendance at on‑trail activities is welcomed but not required.
